Assignment Giveback Policy

Policy Summary

Once HIS Sign confirms you for an assignment, that is considered a professional commitment to fulfill that assignment as scheduled. This policy establishes expectations for how contractors (Service Providers) communicate and manage givebacks, supports the reliability our consumers and customers depend on, and reflects the professional standards of the NAD-RID Code of Professional ConductCART Code of Conduct.

Applicability
This policy applies to all service providers engaged by HIS Sign as independent contractors. These individuals are not employees of HIS Sign.

 Professional Commitment
A giveback is the return of a confirmed assignment – following confirmation from HIS Sign via a scheduler or the scheduling portal. Confirmation constitutes a professional commitment to the consumer, the customer, other Service Providers,  and HIS Sign.  Service Providers should accept only assignments they are confident they can complete. Thoughtful acceptance is always preferable to a late giveback. 

Emergency Provisions
The health and safety of our service providers is of the utmost importance to us. HIS Sign recognizes that emergencies occur and will evaluate them individually and with good faith. An emergency is an unforeseeable event beyond the service provider’s reasonable control – such as acute illness or injury, an accident, or a declared local emergency – that makes fulfillment impossible. Service Providers experiencing an emergency should contact the Accessibility Team at Accessibility@HISsign.com as promptly as circumstances allow.

Expression of Interest
When assignments are blasted through the scheduling portal, Service Providers may submit an expression of interest as a non-binding indication of availability. This does not constitute a confirmed assignment.  Service Providers who are no longer available should rescind their expression of interest promptly through the portal or by emailing the Accessibility Team – remaining interest will be treated as continued availability and may result in confirmation.

Confirmation Process
A confirmed assignment represents a binding professional commitment between the Service Provider and HIS Sign. Upon confirmation, the Service Provider is expected to fulfill the assignment as scheduled and comply with all applicable HIS Sign policies. Once a Service Provider has been selected for an assignment, HIS Sign will issue a confirmation email. This email serves as the official notification that the assignment has been awarded and confirmed.

Giveback Notification
When a giveback is necessary, Service Providers must notify HIS Sign immediately by emailing the Accessibility Team at Accessibility@HISsign.com. Timely notice allows HIS Sign to secure a qualified replacement and minimize disruption to the consumer. Same-day (less than 24-hour notice) givebacks and no-shows – defined as failure to appear without prior communication – are reserved for emergencies only and are considered a serious reliability concern under this policy.

 Reliability Monitoring
HIS Sign tracks giveback frequency and timing, same-day givebacks and no-shows, late arrivals, and communication responsiveness. A pattern of concern – defined as three (3) or more givebacks or two (2) or more same-day givebacks or no-shows within any rolling 90-day period – will prompt a conversation with the Service Provider. Our goal is always to resolve concerns collaboratively.

 Impact on Contractor Relationship
When a pattern of concern cannot be resolved through collaborative conversation, HIS Sign reserves the right to make the following business decisions regarding future assignment offers:

  • Reduction in assignment volume
  • Removal from preferred, recurring, or high-complexity customer rosters
  • Restriction from specific assignment types
  • Temporary suspension of assignment offers (not to exceed 30 days for an initial pattern)
  • Discontinuation of the Service Provider contract

These decisions reflect HIS Sign’s responsibility to its consumers and customers and do not constitute employment-related discipline. As independent contractors, Service Providers retain the right to accept or decline assignments; HIS Sign retains the corresponding right to determine the scope and continuation of contractor engagements.

 Acknowledgment
By continuing to accept assignments through HIS Sign, following notice of this policy, contractors acknowledge receipt and agree to comply with its terms as a condition of their ongoing engagement.
